How to organize pet vaccination records before you need them.

Keep pet vaccination records organized by pet, clinic, and date so you can find official documents for appointments, boarding, or travel.

Keep the official document

When a boarding provider, veterinary clinic, or travel service asks for a vaccination record, a note saying “vaccines done” may not be the document they require. Keep the official record supplied by the clinic and ask the requesting organization exactly what it needs.

This is a filing workflow, not a vaccination schedule. Your veterinarian should determine which vaccines and timing are appropriate for your pet. Travel and boarding requirements vary, so check directly with the relevant provider before making arrangements.

Give every pet a separate folder

Use one folder per pet, with the pet’s name and a clear identifying detail. Keep vaccination records separate from invoices, medication instructions, and general visit notes. If you use digital copies, use readable names such as “Milo — vaccination record — clinic — date.”

Save the original file when possible. Check that scans show the full page and that names and dates are legible. Keep a backup you can access when a phone is unavailable. Share records only with caregivers and providers who need them.

Connect reminders to the source

If the clinic gives you a follow-up date, put that date into your care calendar along with a note about where the official instructions are stored. Do not calculate a clinical due date from a generic online chart or assume every pet follows the same schedule.

  • Record the clinic’s contact information.
  • Label the most recent document clearly.
  • Keep older records as history rather than overwriting them.
  • Ask the clinic to clarify conflicting dates or missing details.

Team Pet’s health and activity history can help organize the surrounding care routine. Keep original documents separately when an official certificate or a specific file is required; this guide does not imply that the app issues certificates.

Check the folder before a handoff

Before a sitter starts or a boarding stay begins, check what the caregiver needs and how they will access it. Confirm the current veterinary contact and any upcoming appointments. Give the caregiver a short index of the relevant records instead of an unorganized collection of attachments.

After a new clinic visit, file the documents while the details are fresh and update your calendar from the clinic’s instructions. A small repeatable filing habit is easier to maintain than a large cleanup just before a trip.

Put a little teamwork into the routine.
